How money moves

Four steps, and you can see all of them.

Most invoicing tools stop at “payment received”. The part your clients worry about is what happens after. Here is the whole path for a single payment.

  1. 01

    Invoice goes out

From your firm’s name and domain, with your engagement terms attached. Clients pay by bank transfer, Direct Debit or card.

    Outstanding£3,048.00

  2. 02

    Funds land separately

Payments arrive in a designated client account at a regulated UK bank, ring-fenced from Ledgerly’s money and from your own.

    Client funds£3,048.00

  3. 03

    Payout, next working day

Fees are released to your operating account on a schedule you set. Amounts over your threshold wait for a second partner to approve.

    Paid out£3,048.00

  4. 04

    Books reconcile themselves

Each payout arrives with its invoice references, so Xero, QuickBooks or Sage match it without anyone typing a number.

Safeguards

What we do with money that isn’t ours.

Plain answers, written for the partner who signs off on the software. Our full controls report is available under NDA.

Safeguarded client funds

Client money sits in designated safeguarding accounts at two UK-regulated banks. If Ledgerly ceased trading tomorrow, those funds are not part of our estate and are returned to you.

An audit trail you can’t edit

Every issue, change, payment and payout is appended to a hash-chained log. Edits create a new entry rather than rewriting the old one. Export it as CSV or PDF for your reviewer.

Two-partner approval

Set a threshold above which refunds, write-offs and payout changes need a second approver. Bank details can’t be changed and paid out on the same day.

Access that matches your firm

Partners, managers and juniors get separate permissions. Single sign-on, enforced two-factor and per-client visibility come with every plan.

“Our clients ask where their money is. Before Ledgerly, the honest answer involved three spreadsheets and me. Now I send them the trail, and the question doesn’t come back.”

Questions

What partners ask before signing.

Does Ledgerly ever hold our money in its own accounts?

No. Payments go straight into designated safeguarding accounts held for your firm’s benefit. Ledgerly’s operating money is kept at a different bank entirely, and the two are reconciled daily by an independent process.

What happens to client funds if Ledgerly shuts down?

Safeguarded funds are legally separate from our assets. An appointed administrator would return them to your firm. We publish our wind-down plan to every customer on request.

Can we move our existing invoices and clients across?

Yes. We import from Xero, QuickBooks, Sage, FreeAgent and spreadsheets. A migration specialist does it with you, and old invoice numbers are kept so nothing confuses your clients.

Will this satisfy our professional body’s rules on client money?

Ledgerly is designed around ICAEW and ACCA client money regulations, including separate designation and timely reconciliation. Your firm stays responsible for compliance; the audit trail export is built to make your review straightforward.

Who can we call when something looks wrong?

A person in our London office, 8am to 7pm on working days, on the phone. Payment issues are answered within one hour. There is no chatbot in front of them.

See your own invoices in Ledgerly before you commit.

Bring last month’s billing. In thirty minutes we’ll walk through how it would have moved, step by step, and you can keep the trail.
